Top 10 Frequently Asked Questions from guests - FAQs

1) Can I reserve a vacation home for less than the minimum night stay requirements, ie. for just one night anytime or two nights in July or August?
The minimum night stay requirements on our homes are sometimes flexible. The best thing to do is e-mail or call us. If you are looking for a shorter stay in the months of July & August, most of our homes will lower the minimum night stay requirements to 2 - 3 nights only about a week before you want to arrive. All of our homes have at least a two night minimum night stay requirementWe never rent out a vacation home for just one night.
2) Can I have just a few more adults and/or children over the maximum the home sleeps?
The maximum occupancy is the maximum number of total people (adults & children) you may have at the property at all times. For more information see our gatherings and Maximum Occupancy day time guests info below.
3) When are the river docks & boats available to use?
Most riverfront homes have seasonal river docks and boats (canoes, kayaks, or paddle boats). Due to varying river conditions, we can only gaurantee the availability of boats and docks when the summer dams are in. The dams are typically installed mid June and removed at the end of September. The exact date is determined by when Russian River Parks & Recreation installs the two summer dams. See below for more info on the summer dams.
4) What are the summer dams and when are they in?
Every summer the department of Russian River Parks & Recreation installs two large dams in the river. The first dam is in downtown Guerneville at Johnson's Beach. The second dam is about 3 miles west of downtown off Hwy. 116. Once the dams are installed the river becomes very full with a slower current and is ideal for canoes, kayaks, rafting/tubing, swimming and fishing. This is when our riverfront homes have their docks and boats available to use. These summer dams are taken out every mid Sept - Oct . The Russian River Parks and Recreation Department typically does not post the installation and removal schedule until shortly before installation begins (approx. 1-2 weeks prior).
5) How late can I check in to the vacation home and how do we get the keys?
You may check in to your vacation home anytime after 4pm. One quarter of our homes offer Express Check-in, in which case you can check in directly at the home anytime starting at 4pm on your arrival day. The confirmation email* you receive shortly after making your reservation notes whether or not the home offers express check-in. If picking keys up at our office, you may check in at our office starting at 3:45 pm on your arrival day. Our office is open daily until 5pm. After we close, we place all the keys for arriving guests in our office lock box. The keys are in an envelope with your name on it . There is no home address in the key envelope. The confirmation will contain the appropriate code (either for checking in directly at the home or for our office lock box; needed for after hours key pick up). The confirmation email also contains the the address and driving directions to the vacation home. *If you do not receive email, let us know and we will either mail or fax your rental confirmation.
6) What does the home provide for cooking and eating?
All of our homes have fully equipped kitchens with a cooking range (gas or electric) , refridge, microwave, toaster, coffee maker, pots, pans & dishes. There may be a few spices, condiments, plastic bags, aluminum foil, etc...but we do not guarantee their availability. All our homes, excluding the Summerhome Park Cabins, come equipped with either a charcoal or propane BBQ grill. See the "Amenities" tab on the home's web page for details.
7) Will my cell phone work at the vacation home?
Presently the two cell phone companies that have good coverage in our area are Verizon and AT&T. Verizon works in most areas of Forestville, Guerneville, Monte Rio and some of Cazadero. AT&T works in some areas of Forestville, most areas of Guerneville, at Bartlett's in Monte Rio and not at all in Cazadero. Metro PCS gets some reception in downtown Guerneville and some areas of Monte Rio. Sprint gets only some reception in Forestville. (This is always subject to change). All homes have a landline (excluding the Summerhome Park Cabins). Some provide local calls only, so bring a prepaid calling card for long distance and international calls.
8) How do I get directions to the home?
Upon receipt of your reservation and after the first payment has been processed, your Reservation Confirmation will be emailed* to you within 48 hours. Enclosed will be the address & directions to the home, check-in procedures and other helpful information. *If you do not receive email, let us know and we will either mail or fax your rental confirmation.

9) Do I have to pay a cleaning & linens fee if I leave the place clean?
We require all guests to pay a cleaning & linens fee. The home will be thoroughly cleaned and sanitized after your stay.

10) What is your cancellation policy?
We always want our guests to be 100% sure they want the home, before they reserve. Our cancellation policy is that all reservations are final. If you need to cancel, we will try to re-book your dates to release you from the rent amount. We offer travel insurance through CSA Travel Protection. This insurance covers most cancellations.

Maximum Occupancy

Please take note of the maximum number of guests allowed in the home before making your reservation. The maximum occupancy, equal to the number of people the home sleeps, is the maximum number of people, including children that are allowed at the property at all times. Exceptions may be made for children under three, depending on the home. This policy is mandated by county ordinance, is stated on our rental agreement and is strictly enforced. In general, two additional day guests maybe allowed at no extra cost, as long as Russian River Vacation Homes has given guest prior written approval (excludes certain homes).

The vacation rental ordinance also prohibits the presence of campers, RV’s, tents, or trailers on the premises of vacation homes.  There a few privately owned and operated camping and RV facilities here in the Russian River resort area - if you’d like a referral, just ask!

Home Use: Groups and Gatherings
Our homes are located in residential areas and are rented for personal vacation use only. It is our expectation that our guests will respect the neighbors’ right to peaceful enjoyment of their homes, and will abide by the guidelines set forth by the Sonoma County Vacation Ordinance.  Specifically, we ask that you be a “good neighbor” by observing the Quiet Hours of 10:00 pm to 9:00 am (in accordance with the ordinance), park responsibly, and refrain from loud, unruly or disruptive behavior.  The ability for our homes to continue to be available as vacation rentals is contingent upon the homes – and guests – remaining welcome in the neighborhoods in which they operate.

Please note that the Sonoma County Vacation Ordinance strictly prohibits large gatherings or events of any kind at vacation rentals (including but not limited to weddings and wedding receptions). Violation of this ordinance can have serious consequences for the homeowner of the property and to the property’s ability to operate as a vacation rental. Therefore, Russian River Vacation Homes has the responsibility of strictly enforcing the policy regarding unauthorized use of the property for an event or a gathering that exceeds the maximum occupancy (please refer to “Maximum Occupancy” above).  If you are planning a getaway for a large group of people or are looking for a space to have an event, let us know - we can offer suggestions or referrals for an appropriate venue for your event or gathering, and we are happy to provide accommodations for your guests!

Reservation Fees
In addition to the rental rate, the total quoted cost of a reservation includes the following itemized fees:

  • Cleaning and Linens Fee: this amount varies per home and is listed on the “Amenities” tab of each home’s web page
  • Local Tax and Fee: A 9% Sonoma County transient occupancy tax is due on all reservations less than 30-days, and a 2% Sonoma County Area Improvement Fee is due on all reservations. (The percentage is based on the Rent and the Cleaning and Linens Fee.)
  • Vacation Rental Damage Protection Fee: $49.00. This fee is automatically applied to each reservation; for most homes sleeping 6 or less, guests can opt to pay a refundable security deposit instead. A non-refundable booking fee of $20.00 is due for reservations choosing to pay the refundable security deposit instead of the damage waiver fee. Read more about “Vacation Rental Damage Protection” below.
  • Travel Insurance (OPTIONAL): We offer optional travel insurance through CSA Travel Protection. This covers a number of unforeseen occurrences, including full reimbursement in the event of a cancellation. Travel Insurance is automatically applied to the rates. During the online booking process, you may opt out of the travel insurance. Learn more about Travel Insurance

Vacation Rental Damage Protection
The Vacation Rental Damage Protection Plan covers unintentional damages to the rental unit that occur during your stay. The cost is $49 for up to $3000 of protection. We automatically apply the Damage Protection Fee to each reservation.  You may have the option to choose to pay a refundable security deposit instead (see below). .

Back to Terms and Conditions

Security Deposit
For most homes that sleep 6 or less, you have the option to pay a refundable security deposit in lieu of the non-refundable Damage Protection Fee. The amount of the refundable security deposit varies per home and, if available for the particular property, is listed in the home info tab on that home’s web page. If there is no deposit amount listed, the home does not offer a security deposit option. The security deposit is due 30 days prior to arrival.  It typically takes 10-14 days from the date of departure for your security deposit to be refunded. Provided that all rules have been met, there are no damages or missing items, and there is no excessive cleaning or additional charges, your security deposit will be refunded in full. In the event that there are any damages or other condition at the home that would necessitate a deduction from your security deposit, our office will notify you and provide you with documentation detailing the damages and charges. A $20 booking fee applies to all reservations opting for the security deposit instead of the damage waiver fee.

For reservations made more than 30 days in advance, one half of the rent, cleaning, taxes and travel protection (if purchaseing) is due at the time the reservation is made. The balance plus the $49 damage protection is due 30-days prior to your arrival date. For reservations made less than 30 days prior to your arrival date, all rent and fees are due at the time you make your reservation.

Cancellations & Refunds
All reservations are final.

We recommend purchasing travel insurance. If you are interested in purchasing travel insurance, or have purchased travel insurance, see the Travel Insurance section for more information.

Please confirm with your party about the home and the dates you intend to reserve before you make your reservation. We do recognize that unforeseen events can arise which may preclude you from your stay.  If you have no choice but to cancel, you may be eligible for either one of the following two options (but not both):

Option #1: Changing the Reservation Date:
If it is at least 2 weeks before your arrival date, you may have the option of changing your reservation dates to within one year of the original arrival date. A $40.00 non-refundable Change Date fee will apply. (Please refer to “Changing the Reservation to a Different Date” below).

or

Option #2: Cancelling Your Reservation and Receiving a Refund:
With this option, we will make the reserved dates available for rent, and for each of the nights during your reservation period that we are able to re-rent, we will refund the rental fee and the local taxes and fees for that night.  It is important to note that a refund can only be made for the nights during the cancelled period that are re-rented and confirmed; if any of the nights during the cancelled reservation period do not re-rent, no monies will be refunded for those nights. Any refund provided will be minus a $60 cancellation fee. Although we cannot guarantee refunds, we always make a concerted effort to re-rent cancelled reservations.

All notices of cancellation or date changes must be received by our office in writing (via fax or email).

Russian River Vacation Homes cannot offer refunds for events occurring out of our control including, but not limited to, power outages, interruption of water service, inclement weather, maintenance issues, or loss of internet or phone service

CSA Travel Protection
We strongly recommend purchasing travel insurance through CSA Travel Protection. The travel insurance premium is automatically applied to the rental rates. If you wish to decline travel insurance, you can easily opt out when you reserve and the premium will be deducted from the total for the rental. The option to decline is available whether you are making a reservation online or over the phone. If you purchase travel insurance, there is a 10 day free look from the date of purchase. Within this 10 day time period, you may cancel the policy without penalty. Travel insurance can be added to your reservation at any time, up to 30 days prior to your arrival date.

Travel Insurance coveres all members of your party and may cover cancellations for a number of unforeseen circumstances, including cancellations due to illness, travel delays, severe weather and job loss. This comprehensive plan offers a number of additional services, including baggage delay payouts, roadside assistance, emergency medical and dental assistance, rental car damage, travel accidents, concierge services and identity theft protection.

Changing the Reservation to a Different Date
For most homes, we can offer the option to change your reservation dates to within one year of your original arrival date, provided that the new dates are for the same home and we receive your request in writing by our office at least 2 weeks before the original arrival date. There is a non-refundable $40 Change Date fee for this option.  Please note that if the reservation is moved to dates that fall within a time period that rents at a lower rate, we cannot provide a refund for the difference. Additionally, all high-season rates, holiday rates and night minimums will apply to any changed dates, and special offers and discounts are only transferable to dates that fall within the valid time frame. This option may be used once per reservation.

Back to Terms and Conditions

Switching Homes
Unfortunately, once you have made a reservation, we cannot switch your reservation to a different home.  This is why it’s especially important to confirm with your party about the home and the dates you intend to reserve before you make your reservation.

In the event that the home you originally reserved becomes unavailable or uninhabitable, Russian River Vacation Homes may need to relocate you to comparable accommodations. If comparable accommodations are not available, we will provide a full refund.

Minimum Night Stays

(We never rent any of our homes for just one night.)  The nightly minimum for each home can be found on the “Rates” tab of each home’s web-page.  Locate the column with the starting and ending dates that include your reservation dates and in the far right column you will find the corresponding nightly minimum stay for that time period.  Unless stated otherwise on a home’s web page, nightly minimum stay requirements for all homes include the following:

  • Minimum stay of 3 nights for Labor Day weekend, Memorial Day weekend, and the Friday, Saturday and Sunday nights of the holiday weekend rent at a 10% increase.
  • Minimum stay of 3 nights over Christmas week.

  • One week minimum for all homes for the first week in July and the first week in August.

If you have reserved dates contrary to the above night minimums, your reservation may not be acceptable. If there is a problem with your reservation, you will be contacted by our office.

Check-In and Check-Out Times

Check-In time is 4:00 pm for all of our homes. Some homes have express check in at the home and other homes require that keys are picked up at our office. Refer to the arrival instructions email and vacation rental contract for specific information regarding check-in.

Checking in at our office: For homes that require key pick-up at our office, keys can be picked up starting at 4pm. After-hours Key Pick-Up: There is no need to let our office know if you will be arriving to pick up your keys after our office closes. The lockbox code is located on the first page of your Vacation Rental Contract. Please note that the home address and driving directions to the home are not included in the key envelope. This is why it is very important that you print out and bring with you a copy of your Check-in Instructions and Rental Contract email and the Vacation Rental Contract you received with your reservation confirmation!

Check-Out time is 12:00 noon (for most homes) or 11:00 am (for larger homes).
The check-in and check-out times are listed on the home’s webpage on the “Amenities” tab, on your Vacation Rental Contract, and on your key envelope.

Early Check-In Option: During the off-season (Oct 1st – April 30th) we may be able to offer an early check-in option for an additional fee, provided there is no guest departing from the home on the same day of your arrival.  If you are interested in the early-check-in option, please contact our office at your earliest convenience to see if this option would be available for your stay. Unfortunately, during the high-season (May 1st – September 30th) we cannot offer an early check-in option.

Unfortunately, during the high-season (May 1st – September 30th) we cannot offer a late check-out option.

Vacating the Home
When you are vacating the home, there are a few items for which you are responsible. These are all listed in your Vacation Rental Contract, and we will remind you once again at check-in. To summarize, these items include the following:

  • Check – and then double check for any left-behind personal items!
  • Remove your trash and recycling from the home and place in the appropriate outside cans/bins.
  • Wash all of your dishes and put them away (including dishes in the dishwasher).
  • Clean up any messes you made, including spills.
  • If you moved furniture or other items in the home, please return them to where you found them.
  • The cleaners will arrive promptly at check-out time, so you and your entire party must vacate the property by the specified check-out time.

Vacation Home Amenities
All of our homes are individually owned and the inventory provided varies depending on the particular homeowner’s sensibilities. Russian River Vacation Homes ensures that every home comes equipped with the following basic vacation needs: one set of sheets per advertised bed, one set of bathing towels per person, laundry detergent, dish soap, hand soap, kitchen sponge and trash bags. An initial supply of toilet paper and paper towels are provided. Items you may want to bring with you that are not supplied include additional toilet paper and paper towels, toiletries, coffee filters, beach towels, cooking oil, specific cooking spices, firewood (some homes provide firewood) and charcoal for BBQs.  All homes are equipped with a coffee maker, toaster, blender and ice trays or built-in icemakers. Many kitchens have spices, condiments and some food items, but these are not guaranteed. Most homes have dishwashers, but some do not.

Our homes are equipped with either a gas or charcoal barbeque grill.  Details about the grill(s) provided at a particular home can be found on the “Amenities” tab on that home’s web page.  Please see below for more information on BBQ grills.

The exception to the above are the Summerhome Park Cabins, for which linens, towels and barbeque grills are not provided. Please refer to the “Amenities” tab on a home’s web page for details about the amenities provided at that particular home.

In most cases, we cannot offer a refund or adjustment due to any malfunction of equipment, which includes TV’s, VCR’s, DVD’s, internet access, phone service, air conditioning units, hot water heaters, stoves, refrigerators, door locks, hot tubs/spas, etc., and especially for a problem which we did not have an opportunity to resolve.  Please report promptly any issues or problems at the home to our office so that we may address these during your stay!

Most of our homes have telephones (except the Summerhome Park Cabins). The type of phone service available at a home is listed on the home’s web page, under the “Amenities” tab.  For homes that provide local calls only, you will need a calling card or credit card to make long distance calls.  For homes that provided unlimited nationwide calls, you will need a calling card or credit card for international calls.

Back to Terms and Conditions

BBQ Grills
All our homes, excluding the Summerhome Park Cabins, come equipped with either a charcoal or propane BBQ grill.  If you are using the grill during your stay, as a courtesy please scrape off stuck-on food or spills as a result of your use. (The longer those things sit, the more difficult it is to remove.)
For charcoal grills, charcoal is not provided but you may bring your own or purchase it locally (Guerneville has a 24 hour Safeway).  For gas grills, we provide propane.

Left Items
Before you vacate the home, please check for personal items. Items stored in dresser drawers, bathroom cabinets, and closets can be especially easy to leave behind, so give these areas one last check – and don’t forget the washer and dryer!  We are not responsible for any items left behind in homes. Any items that are found by RRVH staff or cleaners at our homes are returned to our office. If you think you may have left something behind in the home, please call our office to report it.  Russian River Vacation Homes is not responsible for any items left behind, and there is a $20 return-item fee, plus the cost of postage, for any item mailed back.  We will hold left-behind items here at our office for one month from the day they were turned in, after which time the unclaimed item will be donated to charity.

No Smoking
All of our homes are Non-Smoking - no exceptions!  Out of respect for the homeowners and our future guests, please refrain from smoking inside the home. With the exception of Sequoia Beach Dreamery, smoking is permitted in the outdoor areas of the property. If you do smoke outside, please be conscientious and properly dispose of all ashes and butts (some homes provide ashtrays or similar receptacles).  Please be aware that if any smoking occurs inside the home during your stay, you will be subject to a considerable fine, and will be placed on our “do not rent” list.

Back to Terms and Conditions

Pet Policy
The majority of our homes are dog-friendly. If you or someone in your party is planning on bringing a dog, please make sure you have chosen one of our dog-friendly homes. This information is listed on the home’s web-page, on the “Info” and “Amenities” tabs, and on the Vacation Rental Contract. (Please see “Rules for Dogs” below.)

Dog-friendly homes generally allow dogs only, however for some homes an exception can be made on a case-by-case basis.  Contact our office if you have a question about whether your particular pet would be welcome at a dog-friendly home.

If a home is not designated as dog-friendly, this means that no pets are allowed to be at the property at any time during your stay – no exceptions.  Out of consideration for our homeowners and guests with allergies, we must strictly enforce this policy.  In the event that an animal is brought to a home that is not dog-friendly, you may be subject to an additional charge to cover the cost for items including but not limited to professional carpet and furniture cleaning and flea-bombing. (Some of our guests who choose homes that are not pet-friendly do so specifically because of pet-related allergies).

Rules for Dogs
Please notify our office if anyone in your party will be bringing a dog to the home, either at the time of your reservation or prior to your arrival date.  We will need to know the number of dogs, and their breed and age.

The majority of our homes are dog-friendly, and we’d like to keep them that way! In order to make the dog-friendly experience a positive one for everyone, we ask that our people and dog guests adhere to the following rules:

  • Dogs are not allowed on the furniture or in the hot tub, spa or pool at any time.
  • Dogs may be left unattended in the vacation rental provided they are properly crated, and they must be on-leash when appropriate (for example, in public places where leash laws apply or on shared or non-enclosed property).
  • You are responsible for cleaning up after your dog(s) guests, including picking up and disposing of dog poop, sand or dirt that your dog may have tracked in the home, and removal of pet hair.
Back to Terms and Conditions

Cleaning
We ask that you maintain the cleanliness of the home during your stay and leave the home in good condition upon your departure. The cleaning and linen fee that is charged for each reservation is based on the cost of a regular after-guest cleaning, which includes laundering the linens, changing the beds, sweeping, dusting, mopping, sanitizing, etc...  If the home in which you stay requires more cleaning than normal, you may be charged for each hour of additional cleaning needed, at the rate of $25.00 per hour.  In order to avoid additional cleaning charges, please refer to the list of items for which you are responsible upon your departure, as listed in your Vacation Rental Contract.  (Please see “Vacating the Home”)

Back to Terms and Conditions

Trash Day
You will notice that the trash pick-up day is noted on your Vacation Rental Contract, on your key envelope and on the home information sheet at the home.  Unless otherwise stated on your contract, you are responsible for putting the home’s garbage and recycling receptacles outside on the curb on the night prior to the garbage collection for early pick-up the next morning.  As you can imagine, during our high season when homes have guests staying in them for weeklong increments, the trash and recycling can really pile up.  Failure to place the garbage out for collection will result in a missed pick-up and we will need to arrange for removal, at your expense.  Please remember to put out the trash!

Back to Terms and Conditions

River Docks & Boats
Almost all of the docks and beaches at our homes are seasonally available, contingent upon when the summer dams are in place.  Historically, the summer dams have been in place from approximately mid-June to mid-September.  Unless stated otherwise on the home’s web-page, any boats listed as amenities at the home – including canoes, kayaks, paddleboats, etc. - are made available only during the time period in which the summer dams are in place (usually mid-June to mid-September). The planning and execution of the summer dam installation and removal is coordinated among several local, state and federal entities, may be subject to change, and is entirely outside of the control of Russian River Vacation Homes.

If you are staying at a home that provides a boat(s) for guest use, we ask that you keep all boats properly stored and locked when not in use.  Boat theft is a rather common occurrence in this area, and unsecured and unattended boats are like sitting ducks for thieves.  We’d like to make sure that boats are available for future guest use, and if a home’s boat goes missing during your stay, you may be billed for the cost of replacing it.

Back to Terms and Conditions

Hot Tubs and Pools
Many of our homes offer hot-tubs, and a few offer swimming pools.  These are listed on the home’s web-page on the “Info” and “Amenities” tabs.  (Swimming pools are available seasonally, and unless otherwise noted are generally heated May through September.)

All hot tubs and pools are routinely serviced on a weekly or bi-weekly (during the off-season) schedule.  You may request extra pool or hot-tub service prior to your stay, at your own cost (subject to scheduling availability).

For your safety and for the safety of future guests, we ask that you be conscientious in your use of the hot-tub or pool, and adhere to the posted guidelines. These guidelines are clearly posted near the hot-tub or pool at the home; please contact our office if you have any questions or need further guidance. If the water in the hot-tub or pool is found to be contaminated after your stay, you may be responsible for the cost of draining and cleaning the hot tub and/or restoring the pool to usable condition.  Use of the hot-tub or pool that is considered non-malicious but still results in additional service is covered by damage protection (refer to “Vacation Rental Damage Protection”).

Hot-tubs and pools are among the most popular amenities at our homes, and our guests certainly look forward to using them!  As such, we make a concerted effort to ensure that hot tubs and pools are in good working order at all times, including checking them after guest departure and prior to guest arrival.  Despite our diligence, we cannot guarantee the function of a hot tub/spa and/or pool; our remote location presents challenge to securing parts or service in a timely manner.  Thus, we are unable to offer refunds or monetary adjustments for any hot-tub or pool failure that occurs during your stay.  You can help make sure our hot-tubs and pools stay in good working order by adhering to the posted guidelines for use and by reporting any problems or issues to our office as soon as possible.
